Position Summary
Inova is seeking a highly analytical and detail-oriented Hubspot CRM Coordinator to oversee our HubSpot CRM administration (including HubSpot Marketing Hub and Sales Hub) ensuring data integrity and system performance; maintain other sales and marketing technology solutions such as ZoomInfo, QuotaMaker, etc.; produce weekly and monthly marketing, partner, and sales reports; and drive data-informed decisions across sales and marketing.
This role is pivotal to managing, analyzing, and reporting on data within HubSpot and other data sources to enhance marketing and sales effectiveness, track campaign performance, and align sales and marketing efforts. The ideal candidate will bring strong technical skills, a passion for data analysis, the ability to train sales and support them on questions with HubSpot and other technology solutions, and an ability to translate insights into actionable strategies.
KEY RESPONSIBILITIES
HubSpot Administration:
Serve as the primary administrator for HubSpot (Marketing Hub and Sales Hub), managing user permissions, system configurations, integrations, workflows, and sales training to ensure platform optimization, security controls, and custom objects configuration.
- Develop and maintain HubSpot data hygiene and integrity, creating protocols for data entry, cleanup, and enrichment.
- Create, implement, and optimize HubSpot workflows and automation to streamline sales and marketing processes.
- Monitor and troubleshoot system performance and manage HubSpot updates and enhancements.
Data Analysis & Reporting:
- Develop and maintain dashboards and reports in HubSpot, tracking key performance indicators (KPIs) across marketing and sales functions.
- Generate and analyze reports on lead generation, campaign performance, client journey metrics, and other critical data to support marketing and sales decision-making.
- Provide actionable insights to optimize marketing campaigns and drive lead nurturing and conversion.
- Create custom reports (not just use HubSpot’s canned reports) and be familiar with attribution methodologies.
Sales & Marketing Alignment:
- Collaborate with sales and marketing teams to define and track performance metrics aligned with business goals.
- Assist in building and maintaining an effective lead management process, working closely with sales teams to refine MQLs, SQLs, and handoff procedures.
- Act as a liaison between marketing and sales to ensure data consistency and accuracy across platforms.
- Regularly communicate insights and trends to stakeholders to help shape strategy and prioritize initiatives.
Data Integrity & Compliance:
- Conduct routine audits to ensure data accuracy, completeness, and reliability.
- Ensure all data practices align with the company’s privacy and security standards.
QUALIFICATIONS
Required:
- Experience: 2+ years of experience in a data or analytics role, ideally within marketing operations or CRM administration (HubSpot experience required)
- Technical Skills: Proficiency in HubSpot administration, with experience building dashboards, creating workflows, and managing integrations between other systems. Ability to learn different and new sales and marketing technologies such as ZoomInfo, QuotaMaker, etc. Experienced user of Excel and other analytical tools
- Analytical Skills: Strong analytical and problem-solving abilities with a data-driven mindset and an eye for detail
- Communication: Excellent written and verbal communication skills, able to translate complex data insights into easily understandable recommendations
- Collaboration: Experience working cross-functionally, particularly with sales and marketing teams, to align data needs and reporting practices
Preferred:
- Education: Bachelor’s degree in marketing, Business, or a related field preferred
- Industry Experience: SaaS industry experience is strongly preferred
